Privacy Policy

This Privacy Policy explains how NOVAX (“we”, “us”) collects, uses, and shares information when you use thenovax.com and Switchboard cloud services. It is not legal advice. Platform-specific rules of Instagram, Threads, X, LinkedIn, Reddit, and Facebook still apply to your use of those services.

Who we are

NOVAX operates thenovax.com and Switchboard cloud account features (authentication, billing, signed-in feed analysis sync, intelligence APIs, and marketing analytics).

Account data we collect

When you register we collect your email address, a hashed password, email verification status, and a record that you accepted this Privacy Policy and our Terms of Service (timestamp and terms version).

If you subscribe, we process billing identifiers via Stripe (customer, subscription, and price IDs). We do not store full card numbers on our servers.

We may store preferred language, AI usage quotas, and similar account preferences.

Product telemetry

The Switchboard desktop app may send operational telemetry (for example feature usage counts and error signals) to our servers to improve reliability. Telemetry is designed not to include the full text of social posts. You should treat desktop telemetry as always-on unless a future product control says otherwise.

Cloud feed sync

When you sign in to Switchboard, the app uploads analysis signals from feed captures you collected locally—embeddings, engagement metrics, content hashes, structure features, and AI-generated topic tags—into a shared cloud pool used for Intelligence and aggregated marketing statistics. Full post bodies, usernames, media URLs, and comment text are not stored in that shared pool.

To generate topic tags, Switchboard may briefly send post text to our AI provider (system tagging budget; not your creative AI token quota). That text is not retained in the NOVAX shared feed collections.

Your account syncing analysis signals is not the same as consent from the original authors of third-party posts. Public marketing pages show only anonymized or aggregated views.

Signing out stops new uploads from that session. Previously uploaded shared records may remain according to retention practices below. Untagged captures are not uploaded.

AI processing (Google Gemini and similar)

For feed-share tagging, topic labeling, summaries, and Intelligence, we may send short text (for tagging) or structured features derived from shared or user-provided content to Google Gemini (or another AI provider we configure). Those providers process data as subprocessors under their terms and our configuration.

Feed-share tagging uses a separate system budget and does not decrement your monthly creative AI token quota, but is subject to fair-use / rate limits.

Do not rely on AI outputs as legal, medical, or financial advice.

Marketing site analytics

The public website may compute aggregated statistics (post counts, platform mix, topic clusters, engagement percentiles) from the shared pool. Public samples are redacted to remove handles, profile links, and media hotlinks where feasible.

Cookies and sessions

We use session cookies or equivalent tokens to keep you signed in to Switchboard cloud. Essential cookies are required for authentication and security.

Retention and deletion

Account records are retained while your account is active. AI quota counters reset on a monthly window. Shared feed records and derived embeddings may be retained for product analytics and Intelligence until deleted or rotated as part of ordinary operations.

To request account deletion or a copy of your account data, contact us from the email on your account. We may need to retain limited records for fraud prevention, billing disputes, or legal obligations.

Sharing and international transfers

We share data with infrastructure and service providers needed to run the product (for example hosting, email delivery, payments, and AI APIs). Data may be processed in regions where those providers operate.

We do not sell personal information as a primary business model.

Children

Switchboard cloud accounts are not directed to children under 16 (or the minimum age required in your jurisdiction). Do not register if you are under that age.

Changes

We may update this Policy. Material changes will be reflected by a new “Last updated” date and, when appropriate, a new terms version recorded at registration or re-acceptance.
